Bend FC Soccer Complex Use and Reservation Guidelines

Bend FC (also known as Deschutes Academy or BFC) emphasizes the importance of athletics in promoting healthy lifestyles and enhancing community well-being. We aim to optimize the use of available field space, ensure the maintenance of high-quality, safe athletic fields, minimize scheduling conflicts, and provide clear information about field use.

Organized Use and Reservation Requirement

All organized activities at the Bend FC Soccer Complex require a reservation by the individual or organization ("User"). Organized use includes practices, games, drills, camps, or any activities overseen by a designated individual or organization. Bend FC prohibits unorganized use without prior written authorization. Unauthorized use can result in the revocation of privileges and forfeiture of any deposit.

Reservation Process

Field Availability

Field rentals are available year-round, weather permitting. Reservations must be requested at least seven days in advance. Requests made within seven days may not be accommodated.

How to Reserve a Field

To reserve a field, complete the Athletic Field Rental Application. Users will receive a response within 48 hours to confirm availability and gather additional details. For single-use rentals, payment and a refundable deposit must be submitted with a signed contract. For tournaments or recurring reservations, a deposit is required with the signed contract, and final billing will be processed monthly. Reservations are confirmed only after the signed Field Use Agreement, proof of insurance, and deposit/payment are submitted, and Bend FC provides written confirmation.

For tournaments, a logistics plan and pre-tournament meeting are required 30 days before the event. Failure to comply with billing procedures may jeopardize future reservations.

Community Hours

During the Bend LaPine School year (September to June), the facility is open to the public, Monday through Friday from 7 a.m. to 2 p.m. for private, non-commercial use at no charge. Commercial use requires scheduling and application.

Liability, Equipment, and Terms of Use

• Liability: All Users assume liability for activities at the facility. Liability insurance is required for all rentals.
• Equipment: All equipment, including goals and nets, is property of Bend FC and is not available for community hours use.

Terms and Conditions of Field Use

1. User Responsibilities: Users must comply with all Federal, State, local laws, and rules. No alterations to the facility are permitted, and the facility must be left clean. Any damages caused by the User will be repaired at the User's expense.
2. Cleanliness: Users must leave the facility in a clean condition or may face additional charges.
3. Decorations and Signage: Must be approved by Bend FC and removed after the event. Any damage caused by decorations will result in additional charges.
4. User Property: Bend FC is not responsible for User property.
5. Assignment: This agreement cannot be assigned or transferred.
6. Right to Enter: Bend FC staff may inspect the facility during events and provide directives to Users.
7. Indemnification: Users must indemnify Bend FC against all claims or damages resulting from facility use.
8. Insurance Requirements: Users must provide proof of liability insurance, with a minimum of $2,000,000 coverage. A Certificate of Insurance is due 10 days prior to the rental.
9. Alcohol: Alcohol is prohibited without Bend Park and Recreation District's permission and appropriate insurance.
10. Modification of Insurance: Bend FC reserves the right to adjust insurance requirements.
11. Prohibited Activities: Weapons, fires, glass containers, animals, smoking, and motorized vehicles are not allowed at the facility.
12. Termination: Bend FC may revoke the agreement for failure to comply with terms or misrepresentation.
13. Refunds: Refunds are available if canceled 30 days before the event, with other refunds subject to Bend FC’s discretion.
14. Agreement Modification: Any changes must be in writing and signed by both parties.
15. Acceptance of Terms: Users must agree to all terms, including turf rules and tournament guidelines, if applicable.
16. Approval: The agreement is only binding after Bend FC’s approval.

Bend FC Turf Complex Rules

To make the most of your experience and to keep the facility looking and playing beautifully for many years to come, here are a few guidelines to facilitate everyone’s enjoyment at Bend FC Soccer Facility:

• Animals, food, or beverages (except water) are prohibited on the synthetic turf. Glass containers, sunflower seeds, gum, peanuts, and similar food items are NOT allowed anywhere inside the fencing of the facility.
• Metal and/or steel spikes are prohibited on the synthetic turf fields.
• Do not kick, throw, or otherwise propel objects into the fencing.
• All weapons and firearms are prohibited.
• Criminal activity is prohibited.
• Smoking, vaping, or the use of smokeless tobacco is prohibited.
• No motorized vehicles are allowed on synthetic turf.
• No fires, firepits, barbeques, or any other items used for creating or maintaining fires are allowed anywhere inside the fence of the facility.
• The use of tent stakes on synthetic turf fields is prohibited.
• Field use must be suspended in the event thunder and/or lightning is observed, following USYS lightning policy. Bend FC staff will make the final determination as to the playability of the fields.
• Groups must be off the field by the time their reservation period ends so the next group can take the field and make the most of their allotted time.
• Groups must clean up after themselves; do not leave tape, water bottles, pre-wrap, garbage, etc on the fields or the sidelines. Any personal property left on the fields will be disposed of.
